How to Add Artists or Users

Access the Artists Section

  • Log into your Keep The Fees account.

  • In the left sidebar, click Team.

  • Click Artists.

  • Click the Add Artist button and choose from the following:

  • Create New Profile

  • Invite Existing Artist (applicable if artist already has a KTF account)

Fill Out Artist Profile Information

  1. Enter the Display Name (usually the artist’s first and last name).

  2. Enter the artist’s Email Address.

  3. Enter the artist’s Phone Number.

  4. (Optional) Fill out the Bio (the artist can edit this later after accepting the invite).

Employment Details

  1. Choose Pay Type.

  2. Enter the artist’s Hourly Rate (set to $0 if commission only).

  3. Choose a Calendar Color for the artist.

  4. Decide whether to Send Invitation so the artist can claim and set up their profile.

  5. Click Create Artist.

After Creating the Artist

  • The artist profile is now created.

  • You can resend the invitation if needed.

  • Add License Information and expiration date if required.

  • In Company Settings, set the artist as Active or Inactive and add any private notes.

  • In Locations and Assignments, assign the artist to the correct location(s) and set the calendar color for each location (important for multi-location shops).


Add a New User (Non-Artist Staff)

Access the Users Section

  • In the left sidebar, click Users.

  • Click Invite User.

Fill Out User Details

  1. Enter the user’s Email Address.

  2. Enter the user’s First Name and Last Name.

  3. Click Continue.

Assign Roles and Permissions

  1. Select the appropriate Role or security group for the user (e.g., Manager).

  2. Choose the locations this user should have access to.

  3. (Optional) Use permission templates if available.

  4. Click Send Invite.


Best Practices

  • Always assign a distinct Calendar Color to each artist for easy visual organization.

  • Send the invitation so artists and users can accept and complete their own profiles.

  • Use clear roles (Manager, Artist, etc.) when inviting users to control permissions accurately.

  • You can edit artist profiles anytime using the pencil icon in the Artists list.
