Log In and Access Settings
Log into your Keep The Fees account.
Click Settings in the left-hand sidebar.
The available sections are: Company, Location, Business Hours, Notifications, and Integrations.
Configure Company Settings
(These apply to all locations. Individual locations can override them later.)
Company Information
Go to Company → Information.
Enter the Company Name.
Click to upload a Logo, then crop it as needed.
Click Save.
Business Settings
Go to Company → Business Settings.
Turn ON “Use the logo in emails”.
Set the Email color theme (choose from picker or enter HEX code).
Choose Retainer terminology (Deposit or Retainer).
Turn ON “Allow minor consent” and set the Minimum age requirement.
Enter the Deposit disclaimer text.
Set the Minimum deposit amount (if applicable).
Click Save.
Taxes
Go to Company → Taxes.
Enter the required rates for:
Product sales tax
Service sales tax
Deposit sales tax
Click Save.
Forms & Kiosk
Go to Company → Forms.
Turn OFF “Autofill ID on consent forms” (if your state requires a new ID photo each visit).
In the Kiosk Mode section, set the inactivity timeout (example: 10 minutes).
Click Save.
Tip Presets
Go to Company → Tip Presets.
Customize the preset percentages or leave as default.
Click Save.
Company Notifications
Go to Company → Notifications.
Turn ON “Email on new appointment”.
Click Save.
Configure Operational & Calendar Settings (Company Level)
Scroll to Operational Settings.
Set Minimum booking notice (example: 3 days).
Set Maximum booking notice (example: 30 days).
Go to Calendar Settings.
Turn ON “Send calendar invite email”.
(Optional) Enable CC to artist and/or shop email.
In Booking availability, leave open or close bookings and set a reopen date.
Click Save.
Configure Location Settings
(Repeat for each location if you have multiple. Single-location shops can skip most overrides.)
Location Information
Go to Location → Information.
(Optional) Enter a location-specific name.
Fill in the full Contact Info (address, phone, etc.).
Click Save Changes.
Location Business & Operational Settings
Go to Location → Business Settings.
Turn ON “Use logo in emails” (inherits from company but can be re-enabled).
Go to Location → Operational Settings (inherits from company; only change if this location differs).
Click Save Changes.
Set Business Hours
Go to Business Hours.
Set the shop’s operating days and hours.
Artists can override these in their individual profiles.
Click Save Changes.
Customize Notifications
Go to Notifications.
Filter by Email or SMS to view all client notifications.
To edit any notification:
Click Edit next to the notification (example: “Send client aftercare form”).
Modify the text (you can add lines, thank-you messages, Google review links, etc.).
For SMS: stay under the character limit or the Save button will be disabled.
Click Update to save the edited notification.
Repeat for any other notifications you want to customize.
Configure Integrations
Go to Integrations.
Click Calendar Sync → sign in with your shop’s Google account to sync all Keep The Fees appointments to Google Calendar.
(Optional) Enter your Google Analytics ID to track booking forms.
(Advanced) Webhooks can be configured here for automation (detailed setup covered in separate guides).
Click Save Changes.
