Bringing new artists into your shop’s system is quick and easy with Keep the Fees. Follow this guide to ensure your artist is fully set up and ready to go.
1. Access Your Shop Dashboard
Log in to your Shop Owner account.
Click Your Shop in the main menu.
2. Navigate to Your Artists
In the Your Shop drop-down, click Your Artists.
3. Add a New Artist
4. Enter Artist Information & Customize Profile
Once you’ve clicked the +, you’ll be prompted to fill out the artist’s details. This ensures proper setup for bookings, consent forms, and commissions.

Full Name | Yes | Legal name of the artist (appears on consent forms, required by health departments). |
Nickname | No | Display name used throughout the software (e.g., calendars, reports). Legal name still appears on consent forms. |
Start Date | Yes | The date the artist began working at your shop. If unsure, use today’s date. |
Account Type | Yes (Default) | Choose Artist or Manager. This sets their system permissions. Artists see a simplified dashboard; Managers can have expanded permissions set by you [link to permissions article]. |
Commission / Hourly / Booth Rental | Yes (configure) | Select how the artist operates at your shop (commission-based, hourly, or booth rental). Configure these settings for accurate payouts. |
Available | Yes (Default On) | Toggles artist visibility for appointment bookings and payouts. If off, the artist won’t appear in drop-downs for scheduling or commissions. |
Business Name | No | Enter the artist’s LLC or business entity if applicable; otherwise, leave blank. |
Social Media URL | No | Add the artist’s preferred link (Instagram, Facebook, etc.). clients get redirected here after they book an appointment online. |
Gender (Male/Female/Other) | No | Artist’s preferred gender identity. Optional. |
Yes | Used for internal notifications (appointment bookings, reminders, request forms). Not shared with clients. Ensure it’s an active email. | |

Calendar Color | No | Assign a unique color for this artist’s bookings on the shop calendar. Can be changed anytime. |
Kiosk Code | No | Unique code the artist uses to log into Kiosk Mode (like a server code at a restaurant POS). This allows login without entering username/password. |
Address | No | Internal-only field for the artist’s address. Clients do not see this. |
License Number | No (Recommended) | Enter the artist’s tattoo license number (or shop license, depending on local laws). This will appear on consent forms to remain compliant with certain health departments. |
License Expiration Date | No (Recommended) | Enter the expiration date for the license. Helps keep track of when renewals are due. |
Bio | No | Add personal details (e.g., tattoo style, experience, fun facts). This is visible to clients on booking links. You can also add a profile picture above! Click here to read more about the booking links! |
Notes | No | Internal-only notes for shop use. |
Driver’s License Upload | No | Upload the artist’s driver’s license for shop records. Not visible to clients. |
5. Add artist
6. Send Invitation to the Artist
Once the artist’s details are complete, send them an invitation to create their account password.
This gives the artist access to:
Their appointment bookings.
Commission payout breakdown.
Their own dashboard to manage availability and more. If you need to edit artist details later, simply navigate back to Your Artists, select the artist, and make any updates.
