Appointments List Report

This report gives you a detailed table of all appointments within a selected time period. It’s great for quickly checking service activity, artist schedules, client history, and payment details.

Here's what you'll find along with a guide to the report below:

πŸ” Filters:

  • Date Range – View appointments for today, this month, or custom ranges.

  • Artist – Focus on one artist's schedule.

  • Service – Filter by appointment type.

  • Status – Show only Paid, Cancelled, No-Show, etc.

Report Columns:

On the report, you can scroll right to see all the columns.

  • Client Name

  • Appointment ID - Clickable link to view appointment details

  • Date & Time - Start Date & Time of appointment

  • Service

  • Artist

  • Duration - as listed on the Service

  • Status – (e.g., Paid, Cancelled, No-Show)

  • Type – How the appointment was created (e.g., Manual Entry, Online Booking)

  • Price - The amount charged at checkout

  • Deposit Required / Paid - Amount of deposit if one is required as per the Service setting

  • Monitor daily or monthly appointment activity

  • Track deposit collection vs. total amount due

  • Quickly export or audit all scheduled, paid, and completed services

  • Identify trends in appointment types or services over time


Timings Report – Actual vs. Booked Duration of Appointments

This report helps you track whether appointments run over or under their scheduled time, so you can improve scheduling accuracy and time management.

Here's what you'll find along with a guide to the report below:

  • Date Range

  • Artist

  • Service

  • Method – Choose how to calculate time variance

    • Checkout Time vs. Appointment End takes the checkout time and compares the appointment start time to the checkout time to get the 'actual duration'. This assumes that the checkout occurs after the appointment is completed.

    • Service Duration vs. Appointment Time compares the standard duration of the Service (based on Service settings) to the actual scheduled appointment, measuring changes made to the appointment length.

  • Include Only Completed Appointments – Toggle to exclude no-shows, cancellations, and appointments that have not yet occurred or been paid.

Report Columns:

  • Client Name

  • Appointment ID - clickable link to the Manage Appointment screen, where you can access more info about the appointment.

  • Artist - The artist on the appointment

  • Service - The service on the appointment

  • Appointment Start - The date/time that the appointment is scheduled to start

  • Checkout Time - The date/time that the appointment was checked out & paid

  • Booked Duration – Duration of originally scheduled appointment

  • Actual Duration – Duration from the Start Time of the appointment to the Checkout time

  • Duration Difference – Highlights how far off the actual appointment duration was vs. expected

Cancellations Report

This report lists all canceled appointments so your shop can keep tabs on client reliability, artist impact, and lost booking opportunities.

Here's what you'll find along with a guide to the report below:

  • Date Range – Narrow results to a specific month or year. Goes by Start Time of appointment

  • Artist – See cancellations per artist

  • Service – Focus on cancellations by service type

Report Columns:

  • Appointment ID – Clickable for quick reference

  • Client Name

  • Original Appointment Time

  • Service Booked

  • Assigned Artist

  • Deposit Required / Paid – Shows whether a deposit was linked

  • Deposit Status – (e.g., β€œNot Applicable,” β€œForfeited,” β€œRefunded”)

  • See which services or artists experience more cancellations

No-Shows Report

This report tracks appointments where clients did not show up, helping you enforce your deposit policies and evaluate artist impact.

  • Artist – Filter to individual artist no-shows

  • Service – See which services are most frequently missed

  • Deposit Status – Indicates whether the deposit was paid

Appointment Deposits Report

This report gives you a complete view of deposits collected, missed, or not required for appointments. It helps your team track compliance with shop policies and follow up on unpaid deposits.

  • Deposit Status – View Paid, Not Paid, or Not Required

Deposits Forfeited Report

This report shows all appointment deposits that were forfeitedβ€”typically due to no-shows, late cancellations, or policy violations. A forfeited deposit is one that no longer counts towards the appointment and (depending on commission settings) has been added to the Artist Payout report.

  • Artist – Filter by artist who had the forfeited deposit

  • Client – Search by client name

Report Columns:

  • Client Name

  • Appointment & Checkout IDs – Link back to the original records

  • Original Appointment Date

  • Forfeiture Date

  • Deposit Amount

  • Reason/Notes – Appointment notes

Deposits Refunded Report

This report shows all appointment deposits that were refunded to clients.

Here's what you'll find along with a guide to the report below:

  • Client – Search by client name

Report Columns:

  • Client Name

  • Appointment & Checkout IDs – Links to associated records

  • Refund Date – When the refund was issued

  • Original Deposit Amount – What the client originally paid

  • Amount Refunded – What was actually refunded (may be partial)

Appointment Show Rates Report

This report visualizes how often clients show up to appointments, broken down by artist. It highlights show rates, cancellation rates, and no-show rates to help you evaluate reliability and optimize your calendar.

Here's what you'll find along with a guide to the report below:

  • Date Range – Based on appointment date

  • Group By – Get different useful insights about your appointments based on how you group the report:

    • Artist: Identify which artists have the highest no-shows or cancellations so you can coach accordingly or adjust scheduling.

    • Service: Spot patterns in attendance by service type (e.g. flash tattoos vs. day sessions) to refine booking policies or deposit requirements.

    • Age Group: Understand which age demographics are most likely to miss appointments so you can tailor communication or confirmation strategies.

    • Gender: Track attendance trends by gender to see if any particular group requires different engagement or reminders.

    • Day of Week: Discover which days have the most reliable clients to optimize staff scheduling and reduce downtime.

    • Booking Source: See if clients who book through certain channels (like Instagram or your website) are more likely to no-show or cancel.

  • Group

  • Total Appointments - # of appointments

  • Show Rate (%) – % of appointments completed as scheduled

  • Cancellation Rate (%) – % of appointments that were cancelled

  • No-Show Rate (%) – % of appointments where the client didn’t show up

  • Actual Shows – Total number of completed appointments

  • Cancellations – Number of canceled appointments

  • No-Shows – Number of missed appointments without cancellation
