This guide provides step-by-step instructions for configuring and managing the time clock system to track hours for employees, ensuring accurate hourly pay and streamlined payroll processes.
Set Up Hourly Payment for Employee's Account
Navigate to Your Shop > Your Artists > select "Edit" on the desired account.
Ensure the payment structure is configured for hourly compensation.
Enter the regular hourly wage (e.g., $28/hour) in the artist settings.
Specify the overtime wage rate for any hours worked beyond regular hours. (Time and a half = 1.5, Double time = 2)
Enable the setting "Can Edit Own Time Punches" if you want to allow the employee to edit their own time clock punches, or disable it to restrict this ability.
Save changes.
Create a Time Punch
(Shop Owner or Manager)
Visit the Time Clock tab.
Click "Create"
Select the account name from the dropdown menu.
Set the clock-in and clock-out times:
Manually input the date and time for the artist’s shift start and end.
Use the "Now" button to automatically populate the current date and time (e.g., 02:34 PM CDT on May 20, 2025) for clock-in or clock-out.
In the notes section, add any relevant details (e.g., "Worked on a full-back tattoo" or "Lunch break from 1:00–1:30 PM").
Click Create to save the punch to record it in the system.
Clock in and Out as an Hourly Employee
(Artist or Manager)
Select the clock icon that appears at the top right corner on any page.
Enter any applicable notes.
Confirm your punch by using the blue "Clock In/Out" button at the bottom of the prompt.
View and Edit Time Punches
Once saved, the punch will appear in the list for the date range and filter that you have selected.
Review the list to confirm details like artist name, date, times, and wage breakdowns.
To modify a punch, locate it in the list and click the "Edit" button. (You can filter by artist, date range, or overtime with the options at the top of the page)
Update the clock-in/out times, or notes as needed, then save the changes.
Export Time Clock Data
On the Time Clock List page, locate the "Export" button. (Included in screenshot below)
Clicking "Export" will download a .csv spreadsheet of the time punches. (This may prompt you to choose a file location to save the .csv to your device)
The .csv file will include columns for artist name, clock-in/out times, total hours (regular and overtime), and wages applied.
Use the exported file for:
Calculating payroll with regular and overtime wages.
Maintaining records for compliance or audits.
