QuickChat: Messaging Clients from Anywhere
QuickChat is a compact version of the Messenger that pops up as a panel on the right side of your screen. It lets you text a client without leaving whatever you're working on — an invoice, an appointment, a form request, and more.
If you haven't already, we recommend reading Using the Messenger first, since QuickChat uses the same message composer and tools described there. This article focuses on where you'll find QuickChat and how it works once it's open.
What QuickChat Looks Like
Wherever you open it from, QuickChat looks and works the same way: a panel slides out from the right side of your screen showing:
The client's name at the top, with an expand icon and a close (X) icon
The full message history with that client
The same composer you'd see in the main Messenger: attach media, Send Form, Booking Link, Deposit Link, and Quick Reply
Click the expand icon at any time to jump straight to this same conversation in the full Messenger screen, if you'd rather work from there instead of the compact panel.
If you're starting a brand-new conversation with a client, you'll see an empty state that says "No messages yet. Say hello to [client name]."
Booking links and QR codes in QuickChat
When you send a Booking Link (or a consent form link) through QuickChat, KTF automatically generates a scannable QR code alongside the text link in the message. You can save or print this QR code — for example, on a card at your front desk or a flyer — so clients can scan it to book an appointment or fill out a form without you having to text them a link at all.
Where You Can Open QuickChat
You can open QuickChat from several different places in KTF. Look for either a Message button or a speech-bubble icon.
From an invoice/transaction
Go to Sales > Transactions and open an invoice.
Click Message in the action bar at the top (next to Refund).
From an appointment
Go to Appointments and open an appointment.
Click the Message icon in the action bar at the top (alongside Delete, View Profile, and Send Consent Form).
Tip: The Send Consent Form button next to Message is a shortcut for sending a consent form without opening QuickChat at all. Click it and pick the form you need (Tattoo, Piercing, Laser Removal, etc.) — it will be sent to the client directly.
From the Appointment Requests inbox
Go to Appointments > Requests.
Find the client's row in the table.
Click the chat-bubble icon on the right side of that row (it will say Message client when you hover over it).
From the Appointment Waitlist
Go to Appointments > Waitlist.
Find the client's row in the table.
Click the chat-bubble icon on the right side of that row.
From a client's full profile
Go to Clients > Profiles and open a client.
Click Message in the action bar at the top (alongside Update, Send Form, Tutorials, Merge, and Delete).
From the Signed Consents list
Go to Clients > Signed Consents.
Find the client's row in the table.
Click the chat-bubble icon on the right side of that row (it will say Message client when you hover over it).
